Access Statement

Introduction
We want everyone to feel welcome, comfortable and fully included at Prestwich Community Choir. This Access Statement explains what you can expect from our rehearsal space, our events and our communication. If you have access needs, questions or suggestions, we are always happy to chat and explore adjustments together.

About our rehearsal space
We rehearse every Monday evening during term time at The Heys School, Heys Road, Prestwich M25 1JZ, in the Theatre space. The room is a large space and has light grey walls and floor. There are no windows and the space is lit with bright lighting. There is a large flat, level, stage area, with dark stage curtains which can be drawn. There are fire exit doors in the room, which can offer ventilation. Heating is provided in colder months. The main doors to the room are typically left open, which may result in some noise from passersby. Our registration desk is situated by the theatre door where you will be greeted and registered.

Accessing the space - entrance
Our doors open for members at 7:15 pm. You will be greeted and directed by the team at the main door at our taster sessions. Main access to the theatre is via the main entrance through the school and approx. a 200 meter walk through the school with a small staircase of 4 steps along the wayStep-free access to the Theatre space is available via an alternative side entrance, which takes a route outside the main building on flat ground. If you require access via the side entrance, or any assistance upon arrival, please contact us in advance so we can ensure it is unlocked and someone is available to meet you.

Exiting the space
Rehearsals run from 7:30 pm until 9:00 pm, and we must vacate the building promptly at the end of the rehearsal. All members and their vehicles need to be off the site by 9.15pm.

Attendance & fees
Attendance is flexible; you are welcome to join and attend as you please. In line with GDPR, we will remove your details from our register and records if we haven’t seen or heard from you for over a term. We aim to make our pricing accessible and flexible, we offer a limited number of reduced fee places. Please contact us if you need to make use of reduced fees, we will review this with you each term.

Parking
Free car parking is available on site, with ample spaces.

Public transport
Our rehearsal venue is a 7-minute walk from Prestwich Metro station, which has ramp access, see here. Bus 90 and 94 stop opposite the school.  Buses 135, 894, 895 & 900 stop at the junction of Heywood Road and Bury Old Road and are a 12 minute walk, see here.  Buses 66, 90, 94,95,97 & 98 stop in Prestwich Village along Bury New Road, this is approx. a 10 minute walk, see here. Online accessibility
We use an app called ChoirMate for all communication; this app is available on smartphones and as a website. Our music (lyrics, sheet music, and practice recordings) is also found on ChoirMate. We will issue an access link to the app once you have attended a second time or when you have paid for the full term. Our team members can provide support to access ChoirMate and help you familiarise yourself with the app if needed. Please let us know if you require alternative formats for online information.

Seating and standing
Seating is provided in the rehearsal room. This is tiered, bench seating, in rows. The front row is accessible without steps. The benches have a cushioned fabric back and seat. If this seating is unsuitable for your needs, please contact us in advance so we can explore alternative seating arrangements. We typically alternate between standing and sitting during rehearsals, and you are welcome to stand or sit as needed throughout the session. Please do whatever is most comfortable for you.

Assistance and support
We encourage you to contact us before attending a rehearsal, social activity or performance if you have any specific accessibility needs so we can discuss how best to support you. You are also encouraged to keep us up to date if your access or communication needs change. You are welcome to bring a carer or personal assistant free of charge. Assistance dogs are welcome. We appreciate any feedback you can offer regarding the choir's accessibility; please don't hesitate to contact us with suggestions for improvement by email.

Facilities
Our rehearsal space facilities include:

●  Male, female, gender neutral / accessible toilets which are located in the main school reception and just outside the theatre space.

●  Main and accessible entrance – please ask a team member for directions or assistance  if needed.

Neurodivergent accessibility
We strive to create a welcoming environment for neurodivergent members. Please feel free to bring any items (e.g., fidget toys, earplugs, sunglasses) that help you feel comfortable during rehearsals. You are welcome to take breaks outside the room as needed. Please inform us of any sensory sensitivities or specific communication needs you may have so we can aim to make appropriate adjustments.

What happens at rehearsal?
Our rehearsals generally follow this structure, Participation is entirely voluntary at all times:

  1. Welcome and announcements: A team member will welcome everyone, introduce new members, provide venue information, and share announcements.

  2. Warm-up: Our Musical Director leads a vocal and physical warm-up, including vocal exercises, movement, and simple songs.

  3. First half: We typically work on at least two songs during each rehearsal, either learning new material or revisiting familiar pieces. Music reading is not required; we learn by call and response with our Musical Director.

  4. Break: A 10-minute break is provided halfway through the rehearsal. This is a time to ask questions, use the bathroom, take a break from others, or socialise.

  5. Sing-along song: We return from our break by singing along to a well known song. This is a different song each week. It requires no practice and you can choose if you wish to join in or not.

  6. Second half: We may continue working on songs from the first half or begin rehearsing new material. We often conclude rehearsals by singing through songs we have worked on in the rehearsal, but this may vary.

Performances & Social Events
We are committed to making our social events and performances as inclusive as possible. We consider a range of accessibility factors, including physical access, cost, transport, sensory considerations, and dietary options. We provide detailed information about each venue's accessibility beforehand, but we rely on venues to provide us with accurate information.

We encourage members to share any specific needs they may have so we can make reasonable adjustments. While we strive for maximum inclusion, we recognise that it's not always possible to fully accommodate everyone at every event due to potential conflicts in accessibility needs. We offer a variety of events and performances throughout the year to increase the chances that most members can participate most of the time.

Participation in all events and performances is always optional. This accessibility statement covers formal social events planned by our Social Events Coordinator and all performances. Informal events are not covered.

Feedback
We are committed to continually improving our accessibility. Please share any feedback, suggestions, or concerns you may have by contacting us via email. We also send out a feedback form 2-3 times a year and respond to this feedback in writing.

Member Code

Introduction
Our choir is built on kindness, respect and inclusion. This friendly guide sets out how we look after one another, how we approach rehearsals and performances and how we create the warm, welcoming atmosphere we are proud of. Every member agrees to follow this code when joining us.

Our aims and purpose
Prestwich Community Choir is a friendly, inclusive, not-for-profit choir run by our members, for our members and everyone is welcome to join. We focus on fun, friendship and wellbeing, with regular socials so we can get to know one another outside of rehearsals.

Discrimination
We will not discriminate on the basis of ethnicity, sexual orientation, pregnancy, national origin, income, disability, religious or political belief, marital status or age. As an no audition choir we don’t discriminate on the basis of education, musical education, or experience. If you do feel that a member of the choir is discriminating against you, please let them know as a first port of call, if you feel comfortable to do so. If not, please speak with our choir chair or another team member who will raise it with the chair. This will result in a discussion in the first instance and then if the behaviour continues, you will be asked to leave the choir.

Unwelcome behaviour

Members should treat one another with respect. Prestwich Community Choir is an inclusive environment and we will not tolerate any behaviour that is deemed to be harassment, bullying or discrimination in any form.

This includes:

● Offensive comments related to gender identity, sexual orientation, disability, physical appearance, race, religion or socio-economic background.

●  Deliberate intimidation.

●  Stalking or following.

●  Inappropriate or unwanted physical contact.

●  Unwelcome sexual attention.

●  Inappropriate or unrequested photography or recording.

●  Lack of respect for personal space.

●  Any other action that makes someone uncomfortable.

Getting the most out of choir
We are run by the community, for the community. That means everyone has a role to play in shaping everyone’s experience of being part of our choir. Here are a few ways you can help to make choir a positive experience for everyone.

Punctuality
Our doors open at 7.15pm for registration. Please try to arrive before our start time of 7.30pm. If you do arrive late, please enter quietly and minimise disruption.

Commitment to rehearsals
While you’re free to attend whenever you wish without pressure to commit, you’ll get the most out of our choir if you attend rehearsals regularly. You don’t need to let us know about one-off absences or holidays. However, if you plan to be absent for longer, please let us know whether you want to remain on our records; GDPR means we have to remove people who don’t attend for longer than a term.

Commitment to performances
Performances are an important part of our choir; they help us get involved in our local community, spread the word about joining the choir and they’re a great opportunity to showcase our hard work. Performances are not mandatory, but if you do wish to join them, we do expect a certain level of commitment. That includes learning and practising your part, attending rehearsals and letting the team know that you’ll be attending the performance.

Responsibility
Everyone is responsible for creating a welcoming, safe environment for all our members. We have a responsibility to each other to attend rehearsals, know our parts and stay aware of rehearsal and performance schedules and requirements.

Attentiveness
Listening is probably the most important aspect of singing. It allows you to hear whether you’re getting the notes right, it helps you stay in time and blend better as a unit. Please pay attention to our Musical Director as much as possible and avoid talking when she or other members need to be heard. This includes minimising interruptions and if possible leaving questions until the break.

Support
Please be supportive and patient with newer members, or those who are less confident. And be supportive of yourself too; trust yourself to take on new challenges and give it a go, knowing you’re in a safe, supportive environment. If you ever need help, please ask a fellow choir or team member.

Fees Policy

We keep our fees simple, flexible and fair so you can take part in choir in a way that suits your life and budget. This page explains our payment options, reduced fee places and how we handle missed sessions.

Payment Options

  • New Member taster session: £7 per taster session.

After that you have the option of

  • Drop-in rate: £7 per session.

  • Block payments: £5 per session, paid in advance for a half term. This is the preferred method for regular attendees.

Payment Methods
We accept payments via online bank transfer or via our website. We do have a facility to accept cash or bank card.

Missed Sessions
All payments are non-refundable and black payments will not be discounted for any missed sessions. Missed taster sessions can be transferred to the next taster session so long as you contact us no later than the taster session date, after which the fee is non-refundable.

Missed or late payments for regular members
We understand sometimes people unintentionally forget to pay or have difficulties with making payments, please alert us if this is the case. If you haven’t paid for your last 2 sessions then you will need to settle up before you can return to choir.

Reduced Fees
Reduced-fee places are available for those with low or no income or caring full time. This is a 50% discount on our usual fees.

Our standard rate will apply to you if
You have savings, family support, or inherited wealth now or in the future
You feel secure about your finances and do not worry about debt or future money stability
Money is sometimes a source of stress but you have a small safety net such as modest savings or family support.

Our reduced rate may apply if
You may choose a reduced rate if you can meet your basic needs (e.g. food, heat, light, clothing, travel) but have little or no financial buffer; budgeting often feels stressful; you rely on the cheapest housing options available to you. You may also find that holidays or trips away are difficult to afford, or that your work or housing feels insecure and the only way choir would be accessible is with a low cost place.

These guidelines are offered with trust that you are the best judge of your own situation. We will periodically check in with you that you are still on the right rate. We also trust you will increase your payments if your circumstances change.

If you are unsure, or wish to arrange this just contact us. We are happy to help you find the option that feels right for you.

Carers
If you need to bring a personal assistant or carer with you to support your participation they can attend with you for free.

Safeguarding Statement

Prestwich Community Choir is committed to creating a safe, welcoming and supportive environment for everyone who takes part in our activities. We believe every person has the right to feel safe from harm, abuse and exploitation, and we take all concerns seriously.

Our safeguarding approach follows clear procedures for recognising, responding to and reporting concerns. If a member, volunteer or visitor ever feels worried about their own safety or someone else’s, they can speak to a designated choir lead in confidence and we will take appropriate steps to help.

Safeguarding is everyone’s responsibility and we work together with care, respect and integrity to keep our community safe.

Prestwich Community Choir is committed to protecting your privacy. This notice explains what personal information we collect, how we use it, and your rights under UK data protection law.

We will assume you have left choir if you have not attended for more than a half term without you having communicated a reason for your absence.

How we store your information
Your information is stored securely and only accessible to authorised choir team members who need it to carry out their role.

We use reputable third party platforms to manage communication, payments or forms where needed. These services have their own privacy policies and security practices which you can review at any time.

We take reasonable steps to ensure your data is kept safe.

Sharing your information
We do not share your information with outside organisations unless:

• you give us permission
• it is required for safeguarding or legal reasons
• it is necessary to deliver essential choir services (for example, using a secure payment processor)

We never sell your information.
